This is a data-destruction business. Respecting data is the whole job. This notice covers the small amount of personal data this website collects, why, and what happens to it — written to be read, not scrolled past.
THE SHORT VERSION
No cookies. No trackers. No marketing lists.
This site sets no cookies, runs no analytics trackers, and shows no adverts. The only personal data it handles is what you choose to send — through the enquiry form or the chat assistant — and that data is used for exactly one thing: answering your enquiry and, if you proceed, delivering the service. It is never sold, never shared for marketing, and never added to a mailing list.
What's collected, and why
What you send, where it goes.
The enquiry form collects your organisation, name, phone number, email, and the equipment outline you write. That goes directly to the operator so a written quote can come back to you. It is stored as a business record of the enquiry.
The chat assistant is an AI. Conversations are processed by Anthropic (the AI provider) to generate replies, and transcripts are retained briefly on our own server so the operator can follow up on enquiries — then deleted on a rolling schedule (about 30 days). Photos you attach in chat are forwarded to the operator for quoting and treated the same way. The assistant is instructed to ask only for business-contact details — please don't send it anything sensitive, and it will never ask you to.
Server logs — like nearly every website, the web server keeps standard technical logs (IP address, pages requested) for security and fault-finding. They rotate automatically and are not used to profile anyone.
If you become a customer, the paperwork the service generates — collection manifests, Certificates of Data Destruction, Waste Transfer Notes — is retained as required by waste-carrier and business-record obligations. That retention is a legal feature of the service, not a choice.

Who we are: Sovereign IT Systems, a West Yorkshire IT asset disposal and data destruction business, registered with the ICO as a data controller.
Lawful basis: we process enquiry data under legitimate interest (answering the enquiry you sent us) and, once engaged, under contract. Statutory paperwork is processed under legal obligation.
Your rights: you can ask what we hold about you, ask for it to be corrected, or ask for it to be deleted (except paperwork we're legally required to keep). Email us and it will be handled directly by the operator — there's no call centre to fight through.
